Skate Canada Virtual Assessments – Evaluator Reference Guide August 2024 Copyright © 2024 Skate Canada 8 Overview of the Virtual Assessment Day Process The following information will provide an overview of each step of the virtual assessment day as it relates to all participants. Scheduling and Assignment Virtual assessment days are scheduled through the section who then assigns evaluators. Sections must confirm evaluators for virtual assessment days a minimum of two weeks in advance of the assessment day. Virtual assessment sessions must be a maximum of three hours in length. Virtual assessment days requiring more than a three-hour session will be divided into separate sessions to allow for breaks for the evaluators or a switch of evaluators. Evaluators who prefer shorter virtual assessment sessions should self-identify this to their respective section. Upon confirmation of the virtual assessment day, a service technician is assigned to the club/skating school where they will complete the tech check prior to the virtual assessment day. Note: Evaluators may sometimes be requested for virtual assessment days outside of their respective sections. Sections requesting an evaluator from another section must request through that evaluator’s respective section. Preparation • Schedule and Assessment sheets: The club/skating school’s assessment coordinator is responsible for ensuring the finalized schedule, prepared assessment sheets and planned programs are provided to the assigned evaluator a minimum of 48 hours before the virtual assessment day. The process for providing these documents may vary based on the section. Assessment sheets will be labeled using a numbering system that correlates with the order of assessments on the schedule. They will have the top portion filled out and will be kept in the original fillable format to allow for electronic completion by the evaluator. • Technology Check: Clubs/skating schools must complete a technology check prior to the virtual assessment day where the service technician will test and confirm the online meeting platform (Microsoft Teams, Zoom, Google Meet, etc.), internet speed/connectivity, video clarity, audio reception and device(s) compatibility. The service technician will also go through some filming strategies with the videographer and review the assessment day process. • Meeting link: A meeting link for the assessment day will be provided to all participants following a successful technology check. The process for sending the meeting link may vary based on the section. The Service technician will ensure that all participants have received the applicable meeting link.
