Skate Canada Virtual Assessments – Section Reference Guide August 2024 Copyright © 2024 Skate Canada 10 Administrative Tasks Similar to in-person assessment days, various administrative tasks are required to be completed prior to the assessment day. All tasks, which include the preparation of the schedule, assessments sheets and planned program sheets, are the responsibility of the club or skating school’s assessment coordinator, or appointed individual, and must be provided to the evaluator a minimum of 48 hours before the start of the assessment day. Assignment Virtual assessment days are scheduled through the section who then assigns evaluators. Sections must confirm evaluators for virtual assessment days a minimum of two weeks in advance of the assessment day. Virtual assessment sessions must be a maximum of three hours in length. Virtual assessment days requiring more than a three-hour session will be divided into separate sessions to allow for breaks for the evaluators or a switch of evaluators. Sections may choose to lower the maximum time allotted for virtual assessment sessions. Similarly, evaluators may identify if they would prefer to be assigned to shorter virtual assessment sessions. Upon confirmation of the virtual assessment day, a service technician is assigned to the club/skating school where they will complete a technology check prior to the virtual assessment day. Note: Evaluators may sometimes be requested for virtual assessment days outside of their respective sections. Sections requesting an evaluator from another section must request through that evaluator’s respective section. All communications with evaluators outside of the Province should have the time zones clearly identified to ensure everyone logs on at the correct time. Schedule A schedule must be prepared by the club or skating school prior to the virtual assessment day and provided to the evaluator. Instructions to assist in this process have been included in the Virtual Assessments – Club/Skating School and Coach Reference Guide along with a template document. To save on costs, it is also recommended that clubs and skating schools work within their regularly timed sessions to schedule the virtual assessments. Skills and Freeskate Element assessments, in particular, may be completed during a regular session and do not require clear ice. Dance, Artistic and Freeskate Programs do require clear ice, however, can still be completed during a regular session with the other skaters on the session standing at the boards during the pattern dance or program. Assessment Sheets Clubs and skating schools are required to prepare the top portion of the assessment sheets in advance of the virtual assessment day to be provided to the evaluator. These must be created using the fillable PDFs of the assessment sheets available on the Materials Catalogue on the Membership Site. The schedule, assessment sheets and planned programs must be sent to the assigned evaluator a minimum of 48 hours before the start of the virtual assessment day. How and who is responsible for providing these directly to the evaluator will vary across sections. The club or skating school is also responsible for providing the final schedule to the service technician within the same timeframe as above.
